At BUSSQ, protecting personal information has always been important.

Privacy Policy
Throughout this Policy, ‘we’, ‘us’ and ‘our’ refer to BUSS (Queensland) Pty Ltd (the ‘Trustee’) ABN 15 065 081 281 AFSL 237 860 as Trustee of the Building Unions Superannuation Scheme (Queensland) (‘BUSSQ’ or the Fund). This Policy explains important information about how we handle personal information.
We are bound by the Privacy Act 1988, including the Australian Privacy Principles and are committed to being transparent and protecting the privacy of your personal information.
This Policy applies to members and their authorised representatives, as well as non-members that may be viewing the BUSSQ website, prospective members, those applying or enquiring about becoming a member, entering a competition, or applying for a job with BUSSQ.

Types of personal information we collect and hold
We collect and hold personal information for the purposes of setting up and administering your superannuation account including insurance.
The types of personal information we collect and hold include:
- name, address and other contact details, date of birth, Tax File Number (TFN), occupation, current and former employer and salary/wages information, identification documents, bank account details, details about your spouse, dependants and/or beneficiaries, residency and citizenship status; and
- in some circumstances, sensitive health and medical information (with your consent), or Family Law information such as agreements or court orders.
This information is collected depending on how you deal with us, and we only collect information to provide services related to superannuation. Over time information may be supplemented with other information necessary to improve services, such as (with your consent) biometric information (voice, movement and image).
If we collect your personal information from a third party, such as your employer, they are responsible for letting you know that your personal information has been provided to us.
When you provide us with personal information about another person or authorised representative (for example, a beneficiary), you must:
- tell the person that we have collected their personal information
- provide them with a copy of our privacy policy and privacy collection statement.
How we collect and hold personal information
We collect personal information in a range of ways including from you, your authorised representatives, your employer, identity verification providers, other super funds, the Australian Taxation Office (ATO), solicitors, the Federal Circuit and Family Court of Australia if there is a family law matter, clearing houses, insurers, and medical practitioners.
Typically, we collect your personal information by phone, in person, by email or post, digital applications and forms, and via our website, or via Member Online.
Your personal information is collected and held by us and/or the Fund’s administrator (Australian Administration Services Pty Ltd, being a part of the MUFG Pension & Market Services Holdings Ltd).
For insurance purposes, the Fund’s insurer (Zurich Australia Limited) holds personal information which may also include sensitive health and medical information from you or with your consent, other health professionals.
Access to your personal information is restricted to staff who require your information to administer your superannuation account.
We only collect your personal information if it is necessary, you have provided your consent, or it is authorised by law.
Purpose for which we collect, hold, use and disclose personal information
The personal information we collect may be used:
- so we may contact you
- to verify your identity, or if applicable a personal representative’s identity
- to open and administer your superannuation account or income account including processing contributions investing your money, and making superannuation / income account payments
- to transfer your super to another fund and if provided include your TFN, unless you tell us in writing not to
- where applicable, to collect contributions due
- with your consent, help you find other superannuation accounts in your name
- to assess your eligibility for insurance cover
- to assess an insurance claim
- to provide you with documents that we are required to provide you by law
- to comply with regulatory reporting requirements
- manage and resolve a complaint
- for processing job applications
Direct marketing and analytics
We may collect and disclose your personal information for direct marketing communications, for example to:
- conduct market research and, surveys, and member data analysis
- help improve or tell you about our products and services
- provide you with information and education about superannuation.
We may do this directly or through third-party service providers via various channels, including through social media platforms such as Meta (Facebook) ads or other digital platforms for website analytics, email campaign management, content tailoring and online advertising. We may only use personal information we collect from you for the purposes of direct marketing without your consent when all the below is met:
- the personal information does not include sensitive information
- it is reasonable to use or disclose the information for the purpose of direct marketing
- we provide a simple way of opting out of direct marketing
- you have not requested to opt out of receiving direct marketing from us.

Social Media
We use social media channels that allow us to provide information regarding BUSSQ’s superannuation products. If we collect your information via these channels, we recommend that you refer to the relevant platform’s privacy policy before you provide your personal information in this manner.
Unsolicited personal information
Unsolicited personal information is information received directly or indirectly and is not for any purpose outlined above. If unsolicited information is received about you this will be de-identified or destroyed.
Do you have to disclose your personal information?
You are not obligated to provide your personal information and can deal with us anonymously. However, if we are unable to collect personal information, it may be difficult to complete the above activities, and we may only be able to provide general information regarding BUSSQ and superannuation.
If we are collecting personal information to process your application to open a superannuation account, we may not be able to process your application if the information is not provided.
We are authorised under the Superannuation Industry (Supervision) Act 1993 to collect, use and disclose your TFN. You don’t have to provide your TFN and it’s not an offence if you don’t. If you do not provide your TFN you may pay more tax on your benefits and contributions, and we cannot accept your personal contributions. BUSSQ may disclose your TFN to another superannuation fund if the benefit is transferred, unless you tell us in writing not to disclose the TFN to any other fund.
Who we disclose information to
In certain instances, BUSSQ may disclose relevant personal information to third parties if it is necessary to do so, you have provided your consent, or it is authorised or required by law.
There are various third parties we may disclose personal information to including:
- someone you have authorised such as an attorney, trustee, family member, lawyer
- a product issuer to implement financial advice
- another superannuation fund if you have requested a rollover to or from another fund
- our contracted service providers such as our administration services provider, financial advice providers, contributions collection service providers (where employer contributions are in arrears), mail houses, online calculator providers, auditors, lawyers, market research firms, online advertising platforms, information technology services providers, and identity verification providers
- insurers, claims handling providers, and medical professionals with your prior consent
- agencies and organisations to satisfy regulatory obligations including the Australian Prudential Regulation Authority (APRA), the Australian Securities and Investments Commission (ASIC), the ATO, Australian Transaction Reports and Analysis Centre (AUSTRAC), the Australian Financial Complaints Authority (AFCA), Services Australia, the Department of Veteran Affairs, law enforcement agencies and courts.
Health information collected for insurance purposes will normally only be disclosed to the Fund’s insurer, however if you may make a total and permanent disablement claim, information may be disclosed to medical practitioners and other experts nominated by the Fund’s insurer or the Fund's Insurance Committee. If there is any dispute about your entitlements, BUSSQ, the administrator or the insurer may disclose information about you to other professional advisers (for example legal advisers).
If you die while you are a BUSSQ member, we may share details with your spouse, dependants and/or beneficiaries (this may include a legal personal representative that is the executor or administrator of your estate). The information we share may include the names of your nominated beneficiaries, your account balance and any insurance amount payable.
In emergency situations or following an eligible data breach declaration by the regulator, we may share personal information with relevant authorities as requested and permitted by law.
Identity Verification
If you provide your personal and identification details for the purpose of identity verification, your details will only be used for this purpose. If you consent to electronic verification, your information will be subject to an information match request with the document issuer or official record holder and a corresponding result will be provided via a third-party system for the purpose of confirming your identity. Your name, residential address and date of birth may also be checked against other independent sources including a credit reporting agency, however this is not a credit check and will not give any other information about you or impact your credit rating.
BUSSQ will only use this information for the purpose of identity verification and disclose this information for purposes permitted by law.

Overseas disclosure
Your personal information may be stored and used outside Australia for the following purposes:
- following an interaction you have had with us for Member Online access, an automated call may generate from an overseas mobile number to assist with registration and verification purposes. Your personal information, including your name, email address and phone number will be provided to our Administrator’s service provider (OKTA) to facilitate this service. OKTA operates out of the USA, and your data may be stored in Australia or the United States.
- to overseas recipients in New Zealand if you make a request in relation to a New Zealand superannuation or pension benefit.
- for direct marketing purposes we may disclose your personal information to third party social media platforms which may be located or have their operations overseas. This may include Denmark, Ireland, Sweden, Singapore and the United States.
Any overseas disclosure does not affect our commitment to safeguarding your personal information and we will take reasonable steps to ensure any overseas recipient complies with the Australian Privacy Principles.
Security of information
Your information is only accessible by authorised staff, and third parties who are engaged by us to perform specific functions.
BUSSQ has appointed a specialist administrator and a group life insurer to provide services to the Fund. These service providers are authorised by way of a contract to use personal information only to provide the contracted services, are required to treat that information in the strictest confidence in accordance with a confidentiality agreement and have appropriate security measures in place. Other contracted service providers with which BUSSQ shares personal information are also required to have appropriate security measures in place.
Your personal information is held in electronic or hard copy form. We take all reasonable steps to ensure your personal information is protected from misuse, loss, unauthorised access, modification, or disclosure. We have a range of security measures including systems and building security measures, and training for staff.
When we no longer require the personal information we hold about you, we will take all reasonable and practicable steps to de-identify or destroy the information in a secure manner.
How to request access to and correction of personal information
You have the right to request access to the personal information we hold about you, how you may request correction of the information, and further information about how we handle your personal information.
We will respond to your request for access or correction of personal information within a reasonable period. There may be grounds to decline your request in which case we will write to you to explain why.

How to complain about a breach of privacy
If you believe that your privacy has been breached, have a privacy complaint, or a complaint in relation to electronic verification, you should contact the BUSSQ Privacy Officer:

Alternatively, you can make a complaint in person to a BUSSQ representative, or online at bussq.com.au or via BUSSQ-owned or controlled social media.
We will acknowledge your complaint within 24 hours (or one business day) of receiving it, or as soon as practicable.
Your complaint will be escalated through the Internal Dispute Resolution (IDR) process if it cannot be resolved within 5 business days or where you are not completely satisfied with the resolution.
The Privacy Officer will investigate your complaint, and we will write to inform you of the results of that investigation no later than 30 calendar days after receiving your complaint.
If you are not satisfied with our response or you have not received a response within the required timeframe, you may take your complaint to the Office of Australian Information Commissioner (OAIC).

Scope
This statement applies to the bussq.com.au website. The website is managed by BUSSQ.
Cookies
A cookie is a short piece of data which is sent from a web server to a web browser on the user’s machine when the browser visits the server’s site. Reports obtained from Google Analytics are used to help improve the efficiency and usability of this website.

Google Tag Manager
We use Google Tag Manager, a digital marketing service provided by Google Inc. (“Google”). Reports obtained from Google Tag Manager are used to help improve the efficiency and usability of the website by measuring traffic and visitor behaviour to the bussq.com.au website.
Google Tag Manager uses tags which are tiny bits of website code that allow us to measure traffic and visitor behaviour, understand the impact of online advertising and social channels, use remarketing and audience targeting, test and improve our site. Google Tag Manager keeps track of a set of tags and tag-firing rules but it does not collect any personally identifiable information. When a user visits the site, the most up-to-date tag configuration is sent over to the end-user’s browser with instructions to fire appropriate tags.
